Navigating the App
Once you’re familiar with creating your first document, it’s helpful to understand how to move around TalkDoc and use its features. Here’s a guide to the main screens.
Home Screen
The Home screen is your starting point each time you open TalkDoc. It displays a list of all your documents.
Document List
Your documents are displayed with:
- Title: The name you gave the document
- Date: When the document was created or last edited
- Type: Field Notes, Inspection Report, SOP, etc.
- Status: Draft, Recorded, Processing, Complete, or Error
Sort Modes
At the top of the document list, you can sort by:
- Recent: Newest documents first (default)
- Type: Group by document type
- Status: Group by document status
Tip: Use Type sort when you’re working on similar documents and want to see them together. Use Status to quickly find documents that still need attention.
Swipe Actions
Swipe left on any document to see quick actions:
- Share: Export as PDF (available when the document is complete)
- Copy: Create a duplicate of the document
- Delete: Remove the document permanently
New Document Button
The New Document button at the bottom of the screen takes you to the template picker to start a fresh document.
Template Picker
When you tap New Document, you’ll see five document types to choose from:
- Field Notes / Maintenance Log: On-site observations, measurements, and maintenance records
- SOP / Work Instruction: Standard operating procedures or step-by-step work instructions
- Inspection Report: Documented findings from an inspection or audit
- Safety Checklist: Safety verification checklist for tasks or environments
- Incident / Accident Report: Documentation of a workplace incident or accident
Select your template and enter a document title. You’ll then move to the Record screen.
Record Screen
This is where you speak your observations. The screen shows:
- Record Button: Tap to start recording, tap again to pause
- Waveform Empty State: An animated waveform that appears before you start recording
- Real-time Transcription: What the app is hearing, updated live as you speak
- Guided Prompts: Scrollable prompt cards at the top, tailored to your document type
- Keyboard Toggle: A floating button to switch between voice and keyboard input
- Generate Button: Appears once you have a transcript, tap to generate your document
Speak naturally and let the prompts guide you if needed. When you’re finished, tap Generate and TalkDoc will produce your document.
Tip: You can switch between voice and keyboard input at any time during recording. Use voice for quick capture and keyboard for precise details.
Document View Screen
After TalkDoc generates your document, you’ll see the Document View screen with:
- Generated Document: The structured, formatted output displayed in a web view
- Fillable Fields: Tap any highlighted field to edit it by voice or keyboard
- Status Values: Tap enum fields (like Pass/Fail/N/A) to cycle through options
- Regenerate Banner: Appears after you edit fields, showing how many changes are pending
- Missing Fields Banner: Shows if the AI couldn’t fill certain fields from your transcript
- Share Button: Export as PDF
- Edit Transcript: View or continue recording your transcript
Editing Fields
Tap any field in the document to open the fill screen. Speak or type the updated value, then save. Your change appears immediately in the document.
Smart Regeneration
After editing one or more fields, a banner appears at the bottom offering to regenerate. Tapping it re-processes your transcript alongside all your edits, updating related sections automatically.
Continue Recording
From the document view, tap Edit Transcript then choose Continue Recording to append more content to your existing transcript. Your previous field edits are preserved. Tap Generate to produce an updated document with both the extended transcript and your edits.
Header and Account Access
At the top of every screen, you’ll see the TalkDoc header with:
- App Logo/Home Link: Tap to return to the Home screen from anywhere
- Account Button (top right): Tap to access your account settings, subscription status, and billing information
Tip: If you hit your monthly document limit on the free plan, you can still view and edit existing documents. Create new ones when your quota resets or after upgrading to Pro.
Navigation Tips
Moving Between Screens
- Home -> New Document: Tap the New Document button
- Anywhere -> Home: Tap the app logo in the header
- Document List -> View: Tap a document to open it
- Record -> Document View: Tap Generate after recording
Keyboard Dismissal
If you’re editing a document and need to dismiss the keyboard, tap outside the text field or swipe down.
